Monitoring Instructor Performance in a Multi-Instructor Driving School

How do you know which instructors are performing well and which need support? Here's a practical approach to performance visibility in a driving school.

Running a multi-instructor school means your reputation depends on people you're not always directly watching. A student's experience — and whether they pass, refer friends, and leave a good review — is largely determined by the instructor they're assigned to.

Monitoring performance isn't about micromanagement. It's about having enough visibility to identify problems early, support instructors who need it, and recognise those who are consistently doing well.

The Metrics That Matter

Not all data is equally useful. For a driving school, the metrics that tell you the most about instructor performance are:

Pass rate — What percentage of each instructor's students pass their PDA test? A significantly lower pass rate than the school average is worth investigating. It might indicate a teaching issue, or it might indicate the instructor is assigned more nervous or unprepared students — but either way, it warrants attention.

Student retention — How many students complete their full package versus dropping off mid-way? High dropout from a specific instructor's students is a signal.

Review scores — Average star rating and the content of reviews. Consistent themes in reviews (positive or negative) tell you things about teaching style and communication that raw pass rates don't capture.

No-show and cancellation rates — Unusually high rates from one instructor's students can indicate scheduling friction, poor communication, or mismatched student assignments.

Lesson completion rate — Are instructors completing their scheduled lessons consistently, or are there frequent rescheduled or cancelled lessons from the instructor's side?

Utilisation — Is the instructor filling their available slots? An instructor with low utilisation may need support with their profile, their pricing, or their service area settings.

What DriveBook's Dashboard Shows

From the admin view in DriveBook, school owners can see per-instructor breakdowns of bookings, completed lessons, revenue, and reviews. This replaces the need to ask each instructor for updates or reconcile separate records.

Analytics are updated in real time as bookings and lessons are recorded. There's no end-of-month report to compile manually.

Having Constructive Conversations

Visibility creates the basis for useful conversations. "Your no-show rate has been higher than the team average this month — can we look at your reminder settings?" is a much more productive conversation than a vague sense that something is off.

Equally, strong performance data lets you recognise good work specifically: "Your pass rate this quarter was 91% and your average review score went up to 4.9. That's showing in your booking numbers."

Privacy and Fairness

Instructors should know what data the school tracks and why. Transparency builds trust. If instructors understand that performance data is used to support them rather than to catch them out, they're more likely to engage with it honestly — including flagging when they're struggling.

Performance monitoring works best as a shared tool, not a surveillance mechanism. The goal is a school where every instructor is supported to perform well, and students consistently get a good experience regardless of who they're assigned to.
