Giving Each Instructor Their Own Calendar in a Multi-Instructor School

When driving schools grow beyond one instructor, the first instinct is often a shared calendar — one Google Calendar that everyone can see and edit. It seems like a simple solution.

In practice, shared calendars between multiple instructors are a persistent source of conflict: accidental deletions, unclear colour coding, timezone confusion, and the inability to clearly separate each instructor's students and income.

The Better Model: Individual Calendars, Central Visibility

Each instructor should have their own calendar — their own view of their own schedule, their own students, their own availability settings. What the school admin needs is visibility across all those individual calendars, not a single merged calendar.

Why Separation Matters

Privacy — Student contact details, lesson notes, and payment history belong to the student's assigned instructor. Other instructors don't need to see that data, and students reasonably expect it to be kept separate.

Clarity — When something goes wrong — a double booking, a missed lesson, a payment dispute — you need to know exactly which instructor's calendar is involved. A merged calendar makes that harder to trace.

Instructor accountability — Individual calendars make it clear when an instructor is not maintaining their availability settings, when they're under-utilising their schedule, or when their cancellation rate is higher than others. The school admin can see this; the instructors can only see their own.

Scalability — A shared calendar becomes unmanageable at five or more instructors. Individual calendars scale without adding complexity at the admin level.

How It Works in Practice

An instructor joins the school's DriveBook account. They set their availability — the days and times they're available, their service suburbs, their vehicle type. That availability is visible to the school admin and (for the appropriate time slots) to students booking through the school's platform.

When a student books, the booking goes into that specific instructor's calendar. The slot is blocked on their personal availability. The admin sees the booking attributed to that instructor in the central dashboard.

If the instructor takes a week off, they update their own availability. It doesn't affect any other instructor's schedule.

Holidays and Leave

Individual calendars make leave management straightforward. An instructor going on holiday blocks off those dates in their availability settings. Their slots disappear from the booking page for those dates. No one can accidentally book them. The other instructors' availability is unaffected.

The admin can see who is unavailable on which dates and plan capacity accordingly — whether that means routing enquiries to other instructors or noting that capacity will be reduced for that week.

The Admin View

From the admin dashboard, you see each instructor's upcoming lessons, their student count, their revenue for the week, and any gaps in their schedule. You can assign new students, see who has availability for short-notice bookings, and generate reports without contacting each instructor individually.

This is the difference between managing a team reactively (messaging each person to find out their status) and managing proactively (seeing the status at a glance and acting on it).
