How AI Voice Booking Actually Works

When a student says "I want to book a lesson" or "Can I move my appointment?" or "How much do you charge?", the AI understands what they're asking regardless of exactly how they phrase it.

DriveBook's AI receptionist is connected to your live booking system. This means:

  • It reads your actual availability (not a cached copy)
  • It uses your current rates (if you update your price, the AI quotes the new price immediately)
  • Bookings it creates appear in your dashboard in real time
  • When payment is confirmed via Stripe, the booking is locked and the student gets an SMS

What the AI Handles

New bookings: The AI identifies the student's location, finds available instructors nearby (or the specific instructor if they have a dedicated number), presents available slots, takes student details, reads everything back for confirmation, then creates the booking and sends a payment link.

Cancellations: The AI looks up the booking by phone number, checks the instructor's refund policy, tells the student exactly what refund they'll receive, sends an SMS verification code to confirm identity, gets verbal confirmation, then cancels and processes the refund.

Where the AI Has Limits

The AI is designed to handle bookings, cancellations, and reschedules. It is not designed for:

  • Complex complaints or disputes
  • Questions that require instructor judgment (e.g., "Am I ready for my test?")
  • Anything outside its defined scope
